Position Title: Full-Time, Travelling Personal Assistant / Household Manager / Companion

 

Location: Toronto-based in the downtown area

 

Schedule: Monday to Friday with weekends off, 9:30am to 5:30pm, although flexibility is required

Personal Assistant's Duties & Responsibilities:
  • Management of the personal affairs of the Principal including the arrangement of appointments that are both personal and professional

  • Answering telephone, email and written correspondence, acting as a primary liaison to the Principal

  • Greet visitors and guests

  • Extensive calendar management and organization of personal appointments. Ideally migrating to a cloud-based calendar system that allows family members access is important. Regular printing off of the calendar for the Principal’s reference is important.

  • Coordinating household and personal bookkeeping, reporting to Principal as required

  • Reviewing bills for accuracy and preparing cheques for the Principal’s signature

  • Taking minutes of monthly meeting with Financial Advisor and reviewing them with Principal afterwards 

  • Liaise and coordinate with other household staff and condominium staff for visits, deliveries, maintenance and repairs. Household staff includes a cleaning lady, two Personal Support Workers and a cook as well as condominium staff.

  • Coordination of medical team for travel purposes

  • Office will be provided within the condo. The computers are Apple platforms.

  • Liaising with individuals like the physiotherapist (5 days per week) and barber who comes twice per month

  • Keep family members informed at all times of any health changes, or other details of which they should be made aware

  • As there are two PSWs, there are no medical or lifting requirements

  • Carrying out personal and household errands

  • Travel with Principal to Florida for longer periods or within Ontario for shorter periods (To Be Determined). Airline tickets home during longer stays will be provided. Housing and vehicle access are provided.

  • Manage inventory of household supplies. This does not include groceries as there is a Cook.

  • Wardrobe management, packing and unpacking

  • Organize and execute social activities

  • Coordinate and book travel arrangements

  • Empathetic mealtime companion. Daily companionship is important. This can include taking the Principal to a film, music at Massey Hall or Koerner Hall. Also taking the Principal on summer outings to Philosopher’s Walk or Queen’s Park to simply enjoy a summer day (accompanied by a PSW).

  • Always maintain confidentiality

  • Be prepared to sign a confidentiality agreement

  • Anything else that might be required from time to time

  • It is acknowledged that this job description is an evolving document that will change according to developments

Skills and Aptitudes:
  • Must have a kind, compassionate and sunny personality

  • Must be personable and engaging in order to keep the Principal mentally stimulated

  • Must have a clean driver’s abstract

  • Must hold a G-Level Driver’s License

  • Must be able to travel to Florida during the winter months (airline tickets will be provided to allow for return visits to Toronto)

  • Short-term travel to destination within Ontario like Niagara-on-the-Lake

  • Speaking with a clear, strong voice is important due to hearing impairment

  • Must be proactive and anticipate the needs of the Principal

  • Must be efficient at keeping records and a filing system

  • Should be proactive and sufficiently adaptable to find “plan b’s”

  • Strong problem-solving ability

  • An ability to either follow instruction or take a leadership role when needed

  • Should be an effective communicator (written and verbal) and speak with a loud, clear voice

  • Must be organized and able to multi-task

  • Excellent decision-making, prioritization ability, and able to receive, understand, and act upon instructions from multiple individuals

  • Must be well-mannered and personable

  • Must be calm and proactive in emergency situations

  • Must be willing to sign a confidentiality agreement

  • Must be legally eligible to work in Canada

  • This is a non-smoking position

  • Be prepared to sign a non disclosure agreement (NDA)
