A Toronto-based family of four (a mother, father, and two  school-aged children) is seeking an experienced House Manager for their 10,000 square foot Toronto residence as well as a large family cottage complex in the Kawartha Lakes region. The position is full-time, permanent, and live-out. While the position predominantly involves household management, it does include personal assistant responsibilities. There is also a cat and a dog, so the person must be pet friendly.

 

The ideal candidate has strong administrative skills, is anticipatory, and has an ability to work with other staff to achieve the optimal operation of multiple properties. Accommodation is provided while travelling to other residences.

 

The candidate is a professional who takes pride in what they do and always strives towards learning more and improving performance. They are solution minded. The candidate is a good communicator with an ability to work both independently or collaboratively with other parties including household staff and vendors. They are able to ask questions, conduct research, and find answers. They are curious learners by nature.

 

The position pays well for an experienced individual. The schedule will vary between Monday to Friday or Tuesday to Saturday from 9am to 5pm. However, flexibility is a requirement based on family needs.

 

NOTE: Applicants must hold current status to legally work in Canada. No sponsorship is being considered.

 

Responsibilities Include:

  • Work approximately 5-days per week, with flexibility as required for meeting vendors/trades/suppliers

  • Travel as needed between properties

  • Manage staff (housekeepers & private chef) in both locations

  • Maintain open communication with the Client and keep them informed about all aspects of the property

  • Manage all regular and seasonal maintenance for the properties, including a documented schedule for garden/yard maintenance, pool, HVAC, irrigation, pest control, window washing, eaves cleaning, septic cleaning, etc.

  • Coordinate the opening and closing of properties if needed

  • Source, vet, and then coordinate trades and suppliers for any renovations or repairs/maintenance.  To include procuring proposals and negotiating contracts.

  • Provide access to trades and suppliers, supervise and oversee their work

  • Confirm that invoices for work are as quoted and completed satisfactorily

  • Managing budgets and maintaining financial records

  • Vehicle management and maintaining records

  • Understanding security protocols and systems and making sure that the elements are functioning properly and are regularly tested. Ensuring household staff is trained in security protocols.

  • Conduct minor grocery shopping to stock the home(s) with basics for when the family is in residence

  • Maintain inventories of household supplies including cleaning products, toiletries, and grocery items

  • Conduct errands as required

  • Assist with event planning to include caterers, rentals, florist, wait staff, etc.

Skills and Attributes:

  • Administration and reporting skills

  • Experience managing a luxury home

  • Understanding of household systems/structure with a willingness to learn

  • G-Level driver’s license with a clean driver’s abstract. Having a vehicle is a definite asset. Mileage will be paid as per Canada Revenue Agency (CRA) guidelines.

  • Good communication skills

  • Vendor management experience

  • Project management skills

  • Ability to negotiate contracts with vendors

  • Effective communicator (oral and written)

  • Willingness to be hands-on and/or work collaboratively when called for

  • Punctual, organized, and self-directed

  • Ability to work discreetly while family is at home while respecting professional boundaries

  • Likes, better yet loves animals

  • Ability to manage multiple housekeepers and a chef

  • Experience in hiring and training new staff

  • Competency in Microsoft Office Suite (required) and a bookkeeping program like Quickbooks (an asset)

  • Comfortable to ask questions when things are not understood

  • Planning ability and a forward-thinking mindset

  • A valid passport with no travel restrictions

  • Positive, accommodating, and happy personality

  • Ability to lift 30 to 50 pounds

  • Must be willing to sign a confidentiality agreement

  • Must be willing to undergo a background check
