Estate Manager Position with Family in Waterloo, Ontario

Position: Estate Manager, Live-out and full-time

Location: Waterloo, Ontario is primary residence, Muskoka cottage, Vacant commercial properties (two), Turks & Caicos (managed remotely)

Schedule: Primarily Monday to Friday, 9am to 5pm, however, flexibility is required that may involve occasional evening and / or weekend work

Vacation: Three weeks. To be coordinated with the Employers.

Responsibilities

  • Perform regular property checks, walkthroughs, and report any issues. This includes the primary home, a Muskoka cottage, a commercial office property, and to a lesser degree, two vacant pieces of land.

  • The cottage is a year-round property, but not usually occupied during the winter. Winter walkthroughs are required.

  • Collect and organize mail and deliveries.

  • Manage pick ups of multiple PO Boxes as well as deliveries and returns.

  • Coordinate and oversee trades, contractors, and maintenance work.

  • Schedule seasonal openings and closings, preventative maintenance and repairs.

  • Errands and household-related tasks.

  • Track ongoing projects and follow up to completion.

  • Remotely liaise with property management regarding villas in Turks and Caicos that are fully managed.

  • Be the primary point of contact for property-related issues while the family is travelling. This includes multiple property checks—not quite security guard level but being a responsible presence.

  • Help let the two dogs out when family is away for an extended period.

  • Assist with vehicle logistics (service appointments, inspections, detailing, maintenance records, etc.)

  • Maintain inventories of household supplies.

  • Identify maintenance needs before they become problems.

  • Help organize and coordinate occasional personal or family projects.

  • Take ownership of miscellaneous tasks that help keep everything running smoothly.

  • Maintaining an up-to-date filing system.

  • Willing to respond outside work hours.

  • Notice problems before others do.

  • Comfortable working independently.

  • Professional boundaries and respect for privacy.

  • Willing to roll up their sleeves and do what’s needed, not a “that’s not my job” attitude (within reason of course).

  • Willing to sign a confidentiality agreement.

  • Willing to agree to a background check.

  • Must have a full driver’s license and a vehicle for work purposes (mileage for work-related driving paid).

  • This is a non-smoking and non-vaping residence.

  • Must hold current status to legally work in Canada.

This is not an administrative assistant or housekeeping position. We're looking for someone who enjoys solving problems, coordinating people, and taking ownership of a wide variety of responsibilities. The goal is to become a trusted operational partner who helps keep everything running smoothly while allowing us to focus on family, business, and travel.

Salary: $180,000–$200,000 gross annual

The residence is a non-smoking and vape-free environment. It is also scent-free.
